How to Manage Users and Groups in Joomla 6

In Joomla 6, the User Manager lets you control who can access your site, what they can do, and which areas they can manage. Understanding how to create and organize users is essential for both single-author blogs and large multi-user websites.

1. Accessing the User Manager

To view all registered users on your Joomla site:

  • From the Administrator Dashboard, go to Users → Manage.
  • You’ll see a list of all existing accounts with their usernames, email addresses, and assigned groups.

2. Adding a New User

  • Click the New button in the toolbar.
  • Enter details like Name, Username, Password, and Email.
  • Under Assigned Groups, choose the appropriate user group (e.g., Registered, Author, Editor).
  • Click Save & Close to create the user.

The new user will now be able to log in using their credentials.

3. Understanding Joomla User Groups

Joomla organizes permissions through a system of User Groups. Each group has different access rights, and you can assign one user to multiple groups.

Default Joomla 6 User Groups:

  • Public: Anyone visiting your site.
  • Registered: Logged-in users who can access member-only content.
  • Author: Can create content but must wait for an Editor or Publisher to approve it.
  • Editor: Can edit all articles but not publish them.
  • Publisher: Can create, edit, and publish articles.
  • Manager: Can access the Administrator area and manage site content.
  • Administrator: Can manage extensions, users, and configurations.
  • Super User: Has full control over the entire website.

4. Editing or Blocking Users

If you need to modify or suspend a user account:

  • Go to Users → Manage.
  • Select the user and click Edit.
  • To block the user, set Blocked to Yes and click Save.

Blocked users will no longer be able to log in until reactivated.

5. Assigning Multiple Groups to a User

In Joomla 6, a single user can belong to several groups. For example, you can make someone both an Author and an Editor:

  • Edit the user’s profile.
  • Under Assigned Groups, check multiple boxes as needed.
  • Save changes to apply combined permissions.

6. Viewing Logged-in Users

To see who’s currently online:

  • Go to Users → Logged-in Users.
  • This list shows active sessions for both the site frontend and admin backend.

7. Resetting User Passwords

If a user forgets their password:

  • You can manually reset it by editing their profile in the backend.
  • Alternatively, users can click “Forgot your password?” on the login page to reset it themselves via email.

8. Summary

Managing users and groups in Joomla 6 is flexible and secure. By assigning the right roles and permissions, you ensure that each member has access only to what they need — keeping your site organized and protected.
